Let's say you’re planning on using your Sunlight budget to purchase five books on Amazon. They’re all from the same provider, so you decide to add them to your cart and then use your prepaid card provided by Sunlight to purchase all the items. This is what we call "bulk purchases".

We totally understand the convenience of adding several courses or books to the cart and using only one card to pay. For this reason, we’d like to give you some recommendations to make this work for you:

1. Verify and confirm the total price of the bulk order

When you’re completely satisfied with the resources you’d like to purchase, we’d recommend checking the total of your order on the provider’s website. All you need to do is add the books or courses to the cart and the website should show you a preview of how much you’ll have to pay with your budget. Please make sure to add up any possible extra charges, such as taxes or shipping costs.

By doing this, you’re making sure how much you’ll spend and the amount you’d have to list in your Sunlight requests.

2. Create individual Sunlight requests for each resource your want to purchase

The best way to go ahead with this is to place one request for every resource you’d like to get for yourself, meaning that if you want to purchase 3 books on Amazon, you’d need 3 Sunlight requests (1 for each book).

In terms of the prices you’d have to list in them, you can take the corresponding price of each resource and list it in your request (including shipping and/or taxes), just as you’d do with any other individual request. So, for example, if one of the books costs $15.99 (including the extra costs), that is the price you’d have to list in your Sunlight request.

Since you already have one unique card assigned to you, there’s no need to worry about the payment because the single transaction will be associated with your card.

Ultimately, creating separate requests is convenient for you as we’ll be able to recommend other resources that are relevant or similar to what you’ve already requested.

Your shopping cart is something private and personal that you have in your account on the provider’s website. For this reason, if you list the link of your cart, neither will we nor your manager be able to see the resources you want to purchase.

The best way to create your request is to include the link of the resource itself, that’s the page in which the description, the reviews and the price show.

4. Wait for all your orders to be approved (if applicable)

If your company has manager approval, we’d suggest waiting until all your requests are approved before using Sunlight’s card on the provider’s website. This will guarantee that your card will have all the funds necessary to proceed with a successful payment.

5. Remember to upload your invoices

Once you make your purchase, there’s only one teeny tiny step you could follow: upload your invoices. You can find it in your personal account on the provider’s website or in one of the emails you received from the provider after you purchased the item.

An invoice consists of a document that shows the price you paid and the resources you purchased, which should match what was listed in your requests. You can download one with all the items of your bulk order and upload it to the individual requests on Sunlight. What are the benefits of creating individual requests and not linking my shopping cart?

One of the benefits of following these recommendations is that we’ll be able to know the specific resources you purchased, hence, we’ll be able to cater recommendations based on those previous purchases. Additionally, other users will be able to review those resources for them or their colleagues to see and get inspired into learning something new.

What will happen if one of the resources I’m interested in is only available for pre-order?

If you’re interested in pre-ordering a resource, we’d strongly suggest creating one individual request for it and not purchasing it in bulk, meaning that it would be best to only purchase that item separately. Please take into consideration that this Sunlight request will take longer to be completed because your card will not be charged until the release date or dispatch of your pre-order.

In addition, it’s important to remember that requests expire after 15 days so, if you’re planning on pre-ordering a resource, please be sure to have your request approved (if applicable) 15 days before the release date or dispatch. This way, you’ll ensure a successful payment of your order.

Can I make a bulk request for two providers?

Unfortunately, you cannot make a request for two different providers. For this case, it would be best to create separate Sunlight requests as stated before. So, for example, if you want to purchase 3 books from Amazon and 2 online courses from Udemy, the best way to go is to create 5 individual requests and then go to the providers’ websites and place your bulk orders.

What happens if I do not have a unique card assigned to me?

If your company has not enrolled in our single-card-per-user feature, meaning that a different card is created for each request you placed, we’d still recommend following the recommendations stated in this article. However, bare in mind that this would mean that you’d have to make an individual purchase for each resource on the provider’s website, which we know could be cumbersome.

So, if you really wish to one use one card, we could suggest creating one request for all your items but do not list the link of your shopping cart; instead, list a general link, such as the website’s homepage or the page of one of the resource’s you’re planning to purchase. Also, to keep things transparent, add a comment on the changelog that’s on the left side of your request mentioning the resources you’re going to purchase. Finally, in the case of book purchases (like Amazon), please make sure that all your resources are shipped on the same day; this way, there will only be on payment to the card and not several, which would cause some books to be confirmed but others to be cancelled.

And that’s all! We’d like to highlight the importance of these recommendations to ensure a smooth purchasing process. Of course, we’re also looking for ways to improve this but unfortunately, since we’d need to integrate closely with providers, it’ll most likely take us a little while.
